Why Every Coffee Van & Food Truck Needs a Packing Checklist

There’s a special kind of panic that hits when you arrive at an event, start setting up, and realise you’ve forgotten something important.

Maybe it’s the cups. Maybe the milk. Maybe you forgot to fill the generator the night before. And if you’ve been in the mobile vendor world long enough, chances are you’ve experienced at least one of those moments.

When I was running my coffee van, I learned very quickly that “I’ll remember everything” is not a strategy.

Early mornings, late nights, back-to-back events, weather changes, staff changes, stock runs… there are simply too many moving parts. Even experienced operators forget things when they’re under pressure. That’s why one of the most valuable habits I ever built into my business was using a simple packing checklist before every event.

Not glamorous. Not high-tech. But incredibly effective.

Why Checklists Matter More Than You Think

Mobile vendor businesses operate in controlled chaos.

Unlike a café or fixed venue, your entire business has to move with you. Every event means packing, unpacking, restocking, setup, bump out, and doing it all again the next day.

A checklist removes the mental load.

Instead of trying to remember 50 small tasks at 5:00am while half awake, you simply follow a process you already trust. It reduces stress, saves time, and dramatically lowers the chance of costly mistakes.

Because forgetting something small can create very big problems.

And usually, the thing you forgot is the one thing that’s hardest to replace once you arrive onsite.

My Coffee Van Checklist Routine

Before every event, I had a printed checklist that I would physically tick off while packing the van.

It covered everything:

  • Coffee beans
  • Milk and alternative milks
  • Cups, lids, sleeves and napkins
  • Generator fuel
  • Extension cords and power boards
  • Water tanks
  • POS system and charging cables
  • Cleaning supplies
  • Ice, syrups and stock
  • Plus more!

Over time, the checklist evolved. Every time I forgot something, it earned a permanent place on the list.

And honestly, it became one of the simplest ways to reduce stress in the business.

Instead of lying awake the night before an event wondering if I’d packed everything, I knew the system would catch it.

Checklists Help Teams Too

One of the biggest hidden benefits of a checklist is consistency across staff and contractors.

If someone else is helping pack the trailer or prep for an event, they’re not relying on memory or assumptions. They’re following the same repeatable process every time.
